Artist alley POS: offline checkout and merch inventory

A booth checkout needs to answer three questions quickly: what is the customer buying, what do they owe, and what is still in stock? GoodsBar is a POS and inventory app for iPhone, iPad, and Android phones and tablets, built around that workflow. This guide helps you decide where it fits before setting up your first event.

Choose a setup that matches your table

A price list and a paper tally can be enough for a small catalog. An inventory app becomes useful when variants, shared bundle stock, gifts or several creators make each sale harder to track. Try one realistic order before moving your whole catalog.

  • Use GoodsBar on your phone or tablet for checkout; a teammate can use another phone's browser for picking.
  • Keep your payment terminal or payment app if you need one. GoodsBar records the payment method; it does not process card payments or hold customer funds.
  • A free plan is available. Collaboration and other advanced features depend on your plan; check the in-app purchase screen for current limits and regional prices.

Prepare event stock, not just your entire catalog

Create the event and select the products you are actually bringing. Count packed units for each variant, then record those quantities as event stock. A catalog of 200 items does not mean all 200 belong on today's checkout screen.

Keep bundles connected to their components

If a print is sold both alone and inside a set, those sales draw from the same physical pile. Define the bundle's component quantities before the event and check its availability after a standalone sale. The worked example below shows why an independent bundle tally can overstate stock.

Know what offline checkout means

Core checkout and local inventory work without internet. Prepare your catalog and settings in advance, then rehearse a sale without internet before leaving. Confirm cash received or payment success in your payment provider's app before completing the order. A saved GoodsBar order is not proof that an external transfer succeeded.

  • Cash: check the amount received and change before handing over the order.
  • External payments: connectivity and approval depend on your payment service.
  • Phone picking: the picking phone and checkout device still need the same local network, even when internet access is unavailable.

Split checkout and picking, then reconcile after the show

When two people run the table, use your phone or tablet for checkout and use a phone browser to check the picking queue. Agree who marks an order as handed over. After closing, compare remaining physical stock with orders and gift records, then review event and creator sales before settling with collaborators.

Example: one print + two stickers per bundle

Start with 12 prints and 30 stickers. Each bundle uses one print and two stickers. These are illustrative quantities, not sales forecasts.

Availability is the smaller of prints remaining and whole pairs of stickers remaining. The example assumes all remaining units are available for sale, with none reserved or damaged.
