Event setup

Configure event details, preferences, products, and event stock.

Create an event and prepare for selling

An event holds its details, catalog, stock plan, promotions, preferences, and orders. GoodsBar Demo Booth is the practice event. Dates determine its upcoming, ongoing, or ended status. After creation, follow the four preparation tasks or skip them temporarily and return later.

  1. Browse events

    Open Events, search by name or location, and sort by event date, name, location, or custom order. Cards show dates, status, and catalog summaries.

    Create an event and enter its name, location, and booth number; optionally add a cover and description. The booth number can also appear on order lists.

  3. Set dates and save

    Set a start date and, for a multi-day event, an end date. Clear the end date if unnecessary. Save the event to open its details, then add products to its catalog.

Add products, variants, and bundles

Only the event catalog appears in its POS. A registered product is not automatically included. Listing/hiding controls this event's POS visibility; removing from the event removes the association, not the base product.

  1. Open the event catalog

    Open the Products tab, then Add items. Choose products, bundles, or variant families; filter by tags and select or deselect all as needed. Selecting a catalog item opens its details on the right.

  2. Finish adding items

    Select samples such as Starlit Zine A, Acrylic Stand ABC, and Starlit Booth Set, then finish. Check their event stock before selling.

  3. Inspect an item

    Tap an item to inspect physical stock, current availability, event stock plan, and stock changes. For a family, inspect each SKU. Current availability limits POS sales; estimated stock value is not revenue received.

  4. Hide or remove an item

    Use the POS visibility switch to list or hide the item. Remove unneeded items from the event and confirm. Open details, or long-press the catalog card, to edit base product information.

Plan quantity, remaining quantity, and available stock

Planned quantity is what you intend to bring; remaining quantity is the allocation left after sales; physical stock belongs to the product. A plan can exceed physical stock to show a shortfall, but remaining quantity cannot exceed the plan and POS cannot sell unavailable units. Changing a plan does not create physical stock.

    Select an item and enter its planned and remaining quantities in the stock-plan panel. Compare physical stock and availability. The screenshot shows book A with physical stock 37, plan 24, and remaining 22.

  2. Use all available stock

    Use the available-stock/apply-quantity action when bringing all available units. The catalog's maximum-stock action serves the corresponding fill operation. Check the resulting quantities and save.

  3. Set quantities in bulk

    Bulk-select products, enter the stock value, and apply it to selected items. Check each shortfall and save the list. The unsaved quantity warning should disappear.

  4. Restock and bring more goods

    Restock real deliveries in product or bundle details, then update this event's plan and remaining quantity. POS long-press quick restocking can add both physical and event availability. Resume selling after current availability updates.

Choose linked or separate bundle inventory

Linked inventory suits assembling bundles from the same single-item stock: selling a component reduces bundle availability. Separate allocations suit stock prepared for standalone and bundle sales. Review the conversion preview before switching. Refunds of existing orders follow their recorded stock movements.

    Open selling preferences and inventory mode, or use the linking switch beside the catalog. Read the current mode's explanation.

    Choose linked bundle/product inventory. Decide whether to merge existing bundle allocations into components or keep current component quantities. Review every before/after value, then enable linking. Bundle allocations become zero and availability uses components; newly added components default to not selling separately. Physical stock is unchanged.

    Choose separate inventory, review the preview, and confirm. Shared quantities remain with products; return to the catalog to allocate bundles again. Each allocation decreases separately, still constrained by physical stock.

  4. Check gifts and earlier orders

    Promotional gifts use a separate gift pool; whole-order gifts still consume stock. Check standalone, bundle, and gift availability after switching. For older refunds, consult orders and stock logs.

Configure display, layout, and checkout

Event preferences apply only to this event. Default selling settings affect newly created events, not existing ones. Review display, catalog layout, stock mode, checkout, tax, images, idle display, and payment methods; save and verify in POS.

    Choose the POS product font and size, scrolling names, outlines, weight, and low-stock badges. A currency-symbol override changes display only; leave it empty to use the app currency setting.

  2. Arrange the catalog

    Choose grid/list view, items per row, and grouping: no sections, product type, or an enabled tag category. Match the layout to the catalog size.

  3. Enable checkout actions

    Review whole-order discounts, gift orders, the picking queue, and camera product scanning. External HID scanning depends on your plan; see device setup for pairing. Saved options appear in POS.

  4. Set orientation and completion behavior

    Set the flip-button orientation for the seller's position. Optionally enable returning to a new order after payment and choose the countdown.

Images, idle display, shipping, and sales tax

Selling images and slides can show an empty-cart illustration, completion message, menu, or poster. Online shipping uses the same POS and records your net shipping, packaging, and platform costs. Product batches and order fulfillment costs are supported; booth fees and travel costs are not automatically included as event expenses.

    Set separate empty-cart and checkout-complete images or animations. JPG, PNG, WebP, and GIF are supported. Save to apply; access depends on your plan.

  2. Configure idle slides

    Add menu/poster images, reorder or remove them, and choose timing plus slide/fade transitions. Optionally set automatic entry after inactivity. It starts only with an empty cart; zooming pauses the slideshow.

  3. Set shipping defaults

    Under checkout sales scenarios, choose in-person or online shipping and enter default net fulfillment cost. Each POS order can override these. Blank means unknown; 0 means confirmed no cost. The screenshot shows scenario and cost settings.

  4. Create a tax preset

    Open sales tax and manage presets. Add a name and rate, select the preset for this event, and enable collecting sales tax. Presets can also be managed in Settings. Tax is calculated on the taxable amount after discounts and added to the customer's total.

  5. Save and verify totals

    Save preferences and build a sample cart. Check currency symbol, scenario, cost, taxable amount after discounts, tax, and final total. Editing or deleting a preset does not alter existing events or historical order tax rates.

Create gifts, discounts, and conditional add-ons

Gift rules add gifts automatically or let the customer choose; discount rules reduce totals; conditional add-ons offer a product at a specified price. All trigger conditions must match. Amount uses paid cart items; quantity counts only the specified scope. Excluded products can prevent a rule from applying. Name rules clearly.

    Name and enable the rule. Add total-amount, qualifying-quantity, or product/bundle/tag inclusion and exclusion conditions. Amount comparisons support greater than or greater than/equal to.

  3. Configure repeated rewards

    Choose repetition by amount or quantity and, where needed, disabling a lower amount rule when a higher one triggers. Quantity repetition uses the required product combinations allowed by the form: if A and B are required, 3 A plus 2 B makes 2 qualifying groups.

  4. Configure gifts

    Add gift products, quantity per reward, and shared gift stock. Enable customer choice and set the selection count if needed, plus a per-order reward cap. Gifts are automatically added or selected and consume the separate gift pool.

  5. Configure a discount

    Choose the discount reward and enter the amount per threshold. When changing rule type, rename it too: for “Spend 60, save 5”, enter 5. The screenshot is an intermediate edit; fill in the discount and correct the name before saving.

  6. Configure a conditional add-on

    Select a product already in this event, then its add-on unit price and per-order cap. Add it to the catalog first if missing. Example: spend 60 to add badge B for 8, maximum 1. Qualifying customers choose whether to buy it. The screenshot still needs price, cap, and an updated name.

  7. Save and test the thresholds

    Save and test below, exactly at, and above the threshold in POS. Check gifts, discounts, and caps. Rules can be edited, disabled, or copied. Read the confirmation before deleting; deleted rules cannot be recovered.

Reorder, copy, and start selling

Event catalog ordering affects its POS; event-list ordering affects only the event list. Reorder sections and products within them separately. Copying an event includes products, bundles, promotions, stock plans, and preferences, but no orders or sales records. Recheck physical quantities for the next event.

    Open catalog sorting, choose a section, long-press to reorder sections and their products, set columns per row, and save the order.

  2. Edit or copy an event

    Edit dates, location, or booth number. To prepare a similar next event, copy it, review the scope, confirm, and rename the copy. Its orders start fresh.

  3. Review data or export a poster

    Open historical data/sales matrix for review. Use poster export for a price display; detailed editing and output are covered in the poster chapter.

  4. Enter POS

    Save the catalog, verify quantities and payment methods, and start selling. Check the event name at the top before the first order. Archive events no longer in use; deletion first moves them to the recycle bin.

Tips

  • Check every product, variant, and bundle is listed; compare planned, remaining, and physical quantities. Practice an order to verify payment, tax, promotions, sorting, picking, and the completion screen.
