Inventory and restocking

Distinguish physical stock from event availability, adjust or restock items, and trace inventory changes.

Understand stock in each place

Total/current stock belong to a product; events add planned and remaining allocations. Plans do not bypass physical stock. Bundles derive capacity from components, variants keep individual stock, and gift/gacha pools and held orders reserve quantities. Do not add all these numbers together.

    Open Products → Product details and compare total and current remaining stock.

    Select the same product in the event and compare planned, remaining, and actual availability.

  4. Check bundle linking

    Read event inventory mode. Linked uses one component pool; unlinked uses separate allocations. Both respect physical stock.

Tips

  • A plan above physical stock indicates a shortfall. Unpaid holds reserve stock even after exiting POS.

Restock versus adjustment

Adjust changes current stock; Adjust total changes both current and total; Restock increases both. Use adjustments for losses/count differences and restocks for arrivals. Record money in Costs and profit, not quantity fields.

    Edit the product and open stock adjustment. Read the description for Adjust, Adjust total, or Restock before choosing.

  2. Enter a delta or target

    For adjustment, enter a delta such as +5/-3 or a target count. For restock, enter a positive addition. The screenshot has no quantity yet and remains 30/30; the preview changes before anything is saved.

  3. Record a reason

    Choose a stocktake, closing count, quantity check, extra event stock, or warehouse-restock note, adding details if needed.

  4. Apply and verify

    Apply, then check current/total stock and the new noted log. Current stock cannot be negative or exceed total; adjustments cannot be zero and restocks must be positive.

Tips

  • Do not restock twice to compensate for an unsaved event plan.

Quick restocking and event bulk allocations

Dashboard Quick restock searches only products below 20 current units. At 20 or more, use product editing. Event bulk stock sets allocations, not newly received physical goods. Restock first, then allocate.

    Choose a product from the below-20 list and filter by name/tag if needed. Check stock if it cannot be found.

  2. Enter added units

    Enter quantity or use +5/+10/+20/+50, check resulting stock, and add a note. The screenshot previews 2 + 5 = 7, still unsaved.

  3. Confirm restock

    Confirm and recheck product/quantity in the dialog. Both current and total increase. Continue one product at a time.

  4. Set event stock in bulk

    Select event items, enter a stock value, apply to selected, then save the list. This changes only event allocation.

  5. Restock during selling

    Long-press a POS product for quick restock, which adds physical stock and current-event availability. For bundles follow the detail-page restock route. Do not add the same delivery again elsewhere.

Tips

  • Dashboard restocks one product at a time; event bulk operations allocate. Remember Save list after applying.

Trace differences in stock logs

Logs record creation, restocking, selling, and refunds with before/after values, notes, and related orders. Incoming/outgoing/net figures help explain records but do not replace counting physical goods.

    Open product details → Stock logs and review stock and movement summaries.

  2. Filter records

    Switch all changes/sales only and refresh after new operations.

  3. Open the related order

    Use order number or pickup code to check sale, gift, refund, or hold state.

  4. Make only necessary corrections

    For confirmed loss/count errors, record the delta and reason in stock adjustment. If an order is unresolved, handle it correctly first. The adjustment remains auditable in logs.

Tips

  • Older logs may be plan-limited. Deleting cost batches or changing accounting quantities does not automatically change stock.
